Age 25 - 30 years

Reports to (designation) Unit manager

Job purpose
To handle the unit and be the front face of the company
To manage staff and resources as well as co-ordinate, allocate and control the daily workflow. Participating in the design and implementation of new systems and controls and handling disciplinary issues and managing performance targets
Job responsibility
To monitor stock and inventory levels / updates in MMS / recording purchase orders and purchases
To update and send the daily MIS (DSR)
To keep track of daily linen movement
To keep track of bills sent to customers on a daily basis
To conduct a quarterly / annual-internal / statutory audit
To handle petty cash and A/C payable postings and payments
To conduct a city ledger follow up and recovery form pre-approved credits
To meet compliances of other statutory laws / records of all certificates / NOCs
To ensure timely payments to suppliers / contractors / vendors
TDS from payments / deposit of TDS with authorities
To maintain a cash and bank reconciliation, credit card reconciliation, website receipts reconciliation, refunding cancellations, in-house guest ledger reconciliation, ledger scrutiny, daily accounting, monthly closing of accounts, maintenance of books of accounts
To maintain a fixed assets register
To conduct payroll processing and payments
To conduct analysis of variances from budgets
Posting cash and bank transactions in accounts
To meet statutory compliances:
 
Forex handling and RBI compliance RLM
 
Computing and filing sales tax returns
 
Computing and filing service tax returns
 
Computing and filing luxury tax returns
 
Maintenance and filing of form C for foreign nationals
Interfacing with credit card service provider for remittances / passing entries for all credit card transactions
To follow-up on contractors' and vendors' bill clearance
To maintain all vouchers and files
To ensure bill matching and matching of advances

Job responsibility
Customer well-being:
To ensure that quality standards are applied at all times to achieve high guest satisfaction levels
Daily interaction with customers for feedback and to identify areas of improvement if any and resolve complaints
Customer feedback form: weekly update report
Analyse and improve on the negative scores
To send all customer feedback forms to GM marketing at month end
Vendor management / vendor development:
Ensure high housekeeping standards, resolve maintenance issues, monitor and improve food and beverage quality etc
Weekly meetings with vendors to identify and improve on areas of concern / to improve quality standards
Credit control:
To make sure revenue for no shows, late check-outs and cancellations is collected as per company policy
Increase in sales:
Monitoring and management for rooms on books and maxi days
Achieve budgeted revenue, cost and GOP targets as specified by corporate office
Relationship management with identified top corporates and partners
Training and development / recruitment:
Impart training to staff at the unit
Impart training to new recruits
On the job refreshers to staff, including services providers
Recruitment of subordinate staff in consultation with corporate HR
Employee satisfaction (ESAT)
Development of local recruitment sources
Overall property management:
Effective communication with corporate office
Reports as per MIS
Analysis of reports
Follow-up
Central procurement
Monitoring individual performance / potential assessment / feedback to HO
Conduct regular review and feedback meetings with service providers
Conduct daily, weekly and monthly audits on applicable work schedules
Assist in developing key customers / companies and regular guests
Report for new companies coming up within a 5km radius
Interaction with new companies
Report daily on details of guests who have left negative feedback
Finding out leads for local co-branding
